Position Summary

The Office Coordinator is the first person with whom clients and visitors interact; they are important as the ‘face’ of CMWP, the image of the organization.  The individual must be polished, professional, and articulate.

Responsibilities and Duties

KEY RESPONSIBILITIES

  • Pleasant, professional, and articulate phone voice. Answering the phone is always the primary function. This includes fielding calls, transferring them to the appropriate person, or taking a message from the caller.
  • Multi-line phone or switchboard experience.
  • Strong spelling and grammar skills in taking effective messages.
  • Ability to multitask and handle many incoming calls or consumers/clients at once.
  • Must possess excellent interpersonal and customer service skills to communicate with staff, clients, vendors, and others.
  • Basic knowledge, such as basic math, alphabetical or numerical filing, may also be required.
  • Excellent computer proficiency (MS Office – Word, Excel, and Outlook).
  • Efficient and accurate data entry skills.
  • Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service.
  • Ability to work independently and to carry out assignments to completion within the parameters of instructions given, prescribed routines, and standard accepted practices.
  • Respect for confidentiality and discretion.
  • Attention to detail.
  • Positive, upbeat attitude.
  • Patience in dealing with difficult clients and/or visitors.

Education and/or Experience

Education:

  • A high school diploma or GED is generally required.
  • Some formal office education or training, as well as experience in a non-profit agency office, is preferred.
  • On-the-job training will be provided as necessary

Experience:

  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Minimum of 2 years of professional experience working in the community or social services, preferred
  • Bilingual in English and Spanish or Creole, preferred

Requirements and Physical Demands

  • Must have a valid Florida Driver’s License.
  • Must be able to lift and carry up to 25 lbs
  • Professional attire required.

Schedule

Monday – Friday, 8:00 am – 5:00 pm.
